HR Administrator
De functie

Working in our regional HR Team is dynamic and fun! We strive to be a team that goes the extra mile and we are dedicated to the work we do. We are constantly looking for efficiencies and like to continuously improve our processes so we can maximize the service we deliver to our local business teams accross EMEA.

The HR Administrator provides key HR support in the areas of payroll & reporting, compensation, benefits, overall HR compliance and benchmarking.
In addition, you provide general support for our employees that are part of our local business teams (with focus on Germany, Austria and Switzerland) and you participate in global and regional HR projects.

Your Responsibilities:
1) Payroll & Benefits Administration

  • Supervise the payroll processes across the region and follow up on all payroll related matters, working closely together with the finance team.
  • Facilitate the yearly merit increase and bonus review processes for the region.
  • Assure the precise and timely processing of new hires, terminations and benefit changes. Assist with the benefits enrollment and ongoing change process by scheduling informational meetings, answering employee questions, and assisting with company education seesions, communications and reminders.
  • Prepare and maintain employee benefits files, assuring accuracy, compliance and confidentiality.
  • Communicate regularly with payroll providers, benefit carriers and brokers to reprocess errors, ensure accurate data transfer and confirm information.
  • Act as an employee advocate for Brooks payroll & benefit programs providing both support & education.
  • Administer Leave of Absense program to include communication with employees, processing of all paperwork, and maintenance of all policies and procedures relating to LOA.
  • Participate in the global benchmarking project to enhance regional compensation & benefits structures.

2) Recordkeeping & Reporting

  • Process all new hire paperwork and set up employee records to include personnel filing system and online systems.
  • Process all personnel changes and updates in files on a monthly basis at the end of each payroll period in order to maintain (electronic) employee personnel files. Compile, prepare and maintain necessary salary surveys and quarterly payroll reports.

Responsible for EMEA data protection compliance.

  • Responsible for all creation & compiling of regional people reporting including HR Scorecard and adhoc reporting.
  • Enter and maintain all job descriptions in new HRIS and complete all job requisitions in our online applicant tracking system (Jobvite).
  • Manage all new hires, transfers, promotions & terminations from a data perspective including sending notifications.

3) Employee Communications

  • Assist in the development of Brooks policies & procedures and participate in the ongoing updates of current documents.
  • Advise employees and managers on matters regarding HR forms, processes, policies and procedures.
  • Responsible for developing and maintaining the online EMEA employee handbooks on our intranet site; coordinate and maintain the content and all document updates; evaluate the usability of the online employee handbooks and forms, - making recommendations for improvement.
  • Plan, implement, and coordinate workplace programs to enhance the company culture and work environment; assist in setting up and promoting employee recognition programs and perks.
  • Work closely toghether with the communications department to coordinate HR contributions for intranet and newsletters.

4) Performance ManagementOrganize and assist in workshops and training programs across the region to ensure proper implementation and execution of the yearly performance management cycle (goal setting, performance reviews, merit process, bonus plans, etc.).

Het profiel
  • Bachelor’s degree in Human Resources Management required.
  • 3-5 years working experience in the field of HR of which a minimum of 2 years in a European setting required.
  • Strong background in compensation & benefits and performance management required.
  • Excellent verbal and written communication skills in business German and English is an absolute must.
  • Proficiency in more EU languages is a big plus (Dutch, French, Italian and/or Spanish).
  • Ability to travel to the office in Germany (Münster) on a regular basis.
  • Must be extremely detail-oriented and able to meet daily, weekly and monthly deadlines.
  • Must possess the ability to execute a wide variety of tasks and work in a fast-paced, team environment.
  • Strong self-starter – ability to take on and complete projects with minimal direction.
  • Problem solving mindset combined with a proactive attitude.
  • Analytical and reporting skills strongly desired.
  • Strong commitment to service excellence.
  • Advanced level skills in PowerPoint, Visio, Word, Excel and Outlook.
  • Proven ability to handle confidential information professionally and discreetly.
  • Flexibility to handle unexpected projects and a demonstrated willingness to help others.
  • General knowledge of European employment laws; specific knowledge of German employment law is a big plus.
  • Strong interpersonal and communication skills with the capability to build trust and respect within the organization.
  • Ability to interact positively and effectively with all team members and management across the region.
